Who we are

Safety Certificates UK is a trading name of PASECOM GROUP LTD, a company registered in England and Wales (Companies House 17139327). We are registered with the Information Commissioner’s Office under registration number ZC117546.

Registered office: Unit A, 82 James Carter Road, Mildenhall, IP28 7DE.

We operate a matching network. We introduce and coordinate enquiries with independent assessors. We do not assess premises with an in-house inspection team, and we are not a regulator (we are not the HSE, a fire and rescue authority, or a licensing body).

Website domain: safety-certificates.uk (with a hyphen). Privacy contact mailbox: compliance@safetycertificates.uk (no hyphen in the address).

What data quote forms collect

When you use a quote or contact form on this site, we typically ask for:

• Business or organisation name
• Contact name
• Phone number and email address
• Postcode or site address
• Service needed, preferred timeline, and optional notes (for example premises type or access details)
• Where shown, property or premises type
• A consent tick confirming you agree to this policy and that we may process your details to provide a quote

Forms may include a honeypot field that humans should leave blank. We use that only to reduce automated spam submissions.

We do not ask quote forms for payment card details, and we do not intentionally collect special category data (for example health data) through these forms. Please do not put unnecessary sensitive information in the notes field.

Purpose of processing

We use quote-form data to:

• Respond to your enquiry and provide a no-obligation quote where we can
• Match your request to a suitable vetted assessor on the network and coordinate that introduction
• Contact you by phone or email about the specific request you submitted
• Keep basic records of the enquiry for follow-up, quality, and dispute handling

We do not sell your personal data. Submitting a quote request is not a guarantee that we can match every job or location.

Lawful basis

Under UK GDPR we rely mainly on:

• Steps prior to a contract / legitimate interests — processing your enquiry details so we can reply, match an assessor, and coordinate the instruction you asked for (Article 6(1)(b) and/or 6(1)(f), depending on the stage of the enquiry).
• Consent — where the form asks you to tick that you agree to this Privacy Policy and consent to processing for a quote (Article 6(1)(a)). You can withdraw consent by contacting us; that will not affect processing already carried out.
• Legal obligation — where we must keep limited records for tax, accounting, or to respond to a lawful request from a competent authority.

For analytics cookies, see the cookies section below. We do not claim to have obtained a separate marketing opt-in simply because you asked for a quote.

How long we keep data

Quote and lead records are kept only as long as needed for the enquiry, matching, follow-up, and ordinary business records. As a working rule we aim to retain active lead and coordination records for up to 24 months after the last meaningful contact, then delete or anonymise them unless a longer period is needed (for example an ongoing dispute, a complaint, or a legal retention duty).

Server and security logs may be kept for a shorter period for troubleshooting and abuse prevention.

Who we share data with

We may share relevant enquiry details with:

• Matched assessors — so they can contact you, quote, and arrange a visit. The inspection contract sits with the assessor; they become a controller (or joint controller) for the work they do with you.
• Email and hosting providers — to deliver messages and run the website (for example sending your form submission to our coordination mailbox).
• Analytics — Google Analytics 4 as described below.

We may also disclose information if required by law or to protect rights, safety, or the integrity of the service. We do not run an in-house assessment team that receives your data for its own inspections.

Cookies and analytics (GA4)

This site uses Google Analytics 4 with measurement ID G-E9QMB26P5F to understand aggregate traffic and whether quote forms are completed. GA4 sets cookies or similar identifiers that can involve personal data (for example online identifiers).

Under PECR, non-essential cookies generally need consent. This concept build currently loads GA4 in the page layout for measurement. We do not claim a full cookie-consent banner is present on every page yet. If you prefer not to be measured, you can use browser controls, block third-party scripts, or use Google’s own ad settings / opt-out tools where available.

Essential cookies or similar storage may be used for basic site security (for example spam reduction). We do not use quote-form data to run unrelated advertising profiles.

Your rights

Under UK GDPR you can ask us to:

• Access the personal data we hold about you
• Correct inaccurate data
• Erase data in certain circumstances
• Restrict or object to certain processing
• Receive a copy of data you provided (data portability), where applicable
• Withdraw consent where processing is based on consent

To exercise these rights, email compliance@safetycertificates.uk. You also have the right to complain to the Information Commissioner’s Office (ICO). We would prefer you contact us first so we can try to fix the issue.

Children

This site is aimed at landlords, employers, agents and facilities managers. We do not knowingly collect personal data from children through quote forms.

Changes

We may update this page when our practices or the law change. The “Last updated” date at the top will change when we do. Continued use of the site after an update means you should re-read this notice if the change matters to you.
